How should an Indian hotel choose a channel manager?

Start with the propertyโ€™s distribution map, not a vendor ranking. List every OTA, booking engine, PMS, room type, rate plan, restriction, tax rule, and cancellation policy that must move between systems. Ask each shortlisted vendor to demonstrate those exact workflows and document what happens when a connection fails.

A channel manager can reduce repetitive extranet work, but it cannot by itself remove every overbooking, maintain parity, or improve RevPAR. Those outcomes also depend on correct mapping, operating controls, pricing decisions, and the reliability of connected systems.

1. Build a requirements sheet before the demo

2. Test the full reservation lifecycle

Do not judge synchronization by a single speed claim. Run a controlled pilot that covers:

  1. a new reservation from each priority channel;
  2. a modification to dates, room, occupancy, or meal plan;
  3. a cancellation and inventory restoration;
  4. stop-sell, minimum-stay, and closed-to-arrival restrictions;
  5. a network interruption or rejected update;
  6. reconciliation between OTA, channel manager, PMS, and booking engine.

Record timestamps and results. The useful metric is whether correct data reaches each system within the propertyโ€™s operating tolerance, with visible errors and a recoverable exception process.

3. Compare vendor claims on the same basis

  • What support hours, response targets, and escalation paths are contractual?
  • What reports and raw data can the hotel export?
  • What security and payment responsibilities remain with the hotel?

Use a scored proof of concept

Weight must-have workflows more heavily than feature counts. Reject a candidate that cannot pass a critical reservation, cancellation, or restriction test for the propertyโ€™s real stack.

4. Calculate total contract cost

Request a written quote using the same room count, properties, users, channels, integrations, and support scope. Include implementation, migration, training, add-ons, taxes, payment charges, renewal increases, notice periods, and data-export or exit work.

Avoid relying on an undated price range from a comparison article. Public pricing may omit India-specific taxes, optional modules, negotiated terms, and the cost of replacing or integrating existing systems.

5. Set launch controls and ownership

Before launch, assign an owner for mapping, parity checks, failed-update alerts, user access, and monthly reconciliation. Keep a rollback and manual inventory procedure for material outages. Review mappings whenever the hotel adds a room type, rate plan, promotion, channel, or connected system.
